What is Reconciliation?
Bank reconciliation simply means matching your business bank statement against the records in your accounting software.
The goal is simple: your bank balance and your software balance should match exactly, down to the penny. If they do not match, something is missing, duplicated, or entered incorrectly.
Step 1: Gather Your Documents
Start with the basics.
Grab your bank statement for the month and log into your bookkeeping software, such as QuickBooks, Xero, or another accounting platform.
You need both open at the same time.
Step 2: Check Your Opening Balance
Before you match anything, check the starting balance.
The opening balance in your software must match the opening balance on your bank statement.
If the starting balance is wrong, the ending balance will almost always be wrong too. Fix that first before moving forward.
Step 3: Match the Transactions
Now go line by line.
Match each deposit and expense on the bank statement to the same transaction in your software.
Look for:
- Customer payments
- Vendor payments
- Bank fees
- Transfers
- Debit card purchases
- Credit card payments
- Loan payments
If a transaction appears on the bank statement but is missing in your software, add it.
If a transaction appears in your software but not on the statement, it may be outstanding, duplicated, or entered on the wrong date.
Step 4: Chase the Difference to Zero
The goal is a difference of zero.
That means your bank statement and accounting software agree perfectly.
If the difference is not zero, check for common issues:
- Duplicate transactions
- Wrong dates
- Transposed numbers
- Missing bank fees
- Missing deposits
- Deleted transactions
- Transfers entered twice
- Checks that have not cleared yet
Do not force the reconciliation.
If you plug in a random adjustment just to make the number work, your books will be wrong. Take the time to find the real issue.
Reconciliation is not just a bookkeeping chore.
It helps catch mistakes, missing income, bank errors, duplicate expenses, and possible fraud. It also keeps your financial reports clean so you can trust your numbers.
Do it every month, not once a year.
